This Privacy Policy describes how CaseNX (“CaseNX,” “we,” “us,” or “our”) collects, uses, discloses, and safeguards information when you visit or use our websites and services, including www.casenx.com, related pages and subdomains (collectively, the “Site”), and when you interact with our software-as-a-service offerings (the “Services”).

1. Scope and data roles

This Privacy Policy applies to:

  • Visitors to the CaseNX website
  • Individuals requesting information or booking demos
  • Customers and authorized users of CaseNX software, including:
    CaseNX for Funeral Homes
    CaseNX for Care Centers
    CaseNX for Mortuary Transport

Customer Data vs. CaseNX Data

  • Customer Data means data submitted to the Services by or on behalf of a customer in connection with operational use of the platform. This may include case records, decedent information, next-of-kin details, authorizations, logistics, documents, and workflow metadata. In these contexts, the customer acts as the data controller, and CaseNX acts as a service provider / data processor.
  • CaseNX Data means information CaseNX collects directly in connection with operating the Site and managing customer relationships, such as contact details, account information, billing contacts, analytics data, and support communications.

If your personal information appears within a CaseNX customer account, privacy requests should generally be directed to that customer organization.

2. Information we collect

A. Information you provide directly

  • Name, email address, phone number, title, organization, and location
  • Information submitted via contact forms, demo requests, or email
  • Account and user profile information
  • Billing and administrative contact information
  • Support requests and communications

B. Information collected automatically

  • IP address, browser type, device identifiers, operating system
  • Pages viewed, timestamps, referring URLs, and feature usage
  • Cookies and similar tracking technologies

C. Information from third parties

  • Demo scheduling: When you book a demo using Calendly, we receive booking information such as your name, email address, meeting time, and any information you provide in the scheduling form.
  • Analytics: We use Google Analytics to understand website usage and improve performance.
  • Payment processing: We primarily use Stripe to process payments. CaseNX does not store full payment card numbers on its own systems.

3. How we use information

We use information to:

  • Operate and maintain the Site and Services
  • Respond to inquiries and schedule demos
  • Set up, administer, and support customer accounts
  • Process billing and payments
  • Improve functionality, reliability, and security
  • Send service-related communications and administrative notices
  • Send marketing communications where permitted by law
  • Comply with legal obligations and enforce agreements

CaseNX does not sell personal information in the traditional sense.

4. Customer Data processed through the Services

The Services are designed to support operational workflows in the deathcare industry. Depending on customer configuration, Customer Data may include sensitive and time-critical information.

CaseNX processes Customer Data solely to provide the Services, in accordance with applicable customer agreements. Customers are solely responsible for determining what data they submit to the Services and for ensuring the accuracy, completeness, and legality of that data.

‍CaseNX does not use Customer Data to train public or generalized AI models.

5. Legal bases for processing

Where applicable, CaseNX processes personal information based on:

  • Performance of a contract
  • Legitimate business interests (such as security, analytics, and service improvement)
  • Consent (where required)
  • Compliance with legal obligations

6. How we share information

We may share information with:

A. Service providersIncluding vendors that assist with:

  • Hosting and cloud infrastructure
  • Payment processing (Stripe)
  • Demo scheduling (Calendly)
  • Analytics (Google Analytics)
  • Customer support and communications

Service providers are contractually restricted from using information except to provide services to CaseNX.

B. Legal and regulatory disclosures

When required to comply with law, legal process, or governmental requests, or to protect the rights, safety, and security of CaseNX, customers, or others.

C. Business transactions

In connection with mergers, acquisitions, financings, or asset sales, subject to appropriate confidentiality protections.

7. Cookies and analytics

We use cookies and similar technologies to enable site functionality, analyze usage, and improve user experience. You can control cookies through browser settings, though disabling cookies may affect site performance.

8. Data retention

Information is retained only as long as reasonably necessary to:

  • Provide the Site and Services
  • Meet legal, regulatory, and contractual obligations
  • Resolve disputes and enforce agreements

Customer Data retention and deletion are governed by customer agreements and applicable law.

9. Security

CaseNX maintains administrative, technical, and physical safeguards designed to protect information, including access controls, encryption in transit, and monitoring for unauthorized activity. No system can be guaranteed completely secure.

10. HIPAA and sensitive information

CaseNX is not a healthcare provider. Customers subject to HIPAA should not store Protected Health Information (PHI) in the Services unless a separate Business Associate Agreement (BAA) is in place. Contact privacy@casenx.com to discuss BAA requirements.

11. Your rights and choices

Depending on your jurisdiction, you may have rights to access, correct, delete, or restrict certain personal information. Requests may be submitted to privacy@casenx.com. Requests involving Customer Data may require coordination with the applicable customer organization.

12. Children

The Site and Services are not intended for children under 13, and CaseNX does not knowingly collect personal information from children.

13. International transfers

Information may be processed and stored in the United States, subject to appropriate safeguards as required by law.

14. Changes to this Privacy Policy

We may update this Privacy Policy from time to time. The “Last Updated” date reflects the most recent revision.
